Accounts Payable Specialist

Job Description

Key Responsibilities

  • Process, review, and code vendor invoices for accuracy and proper authorization
  • Match invoices to purchase orders and receiving documents (2-way/3-way matching)
  • Resolve invoice discrepancies and respond to vendor inquiries in a timely manner
  • Prepare and process weekly or monthly payment runs (checks, ACH, wire transfers)
  • Maintain vendor records, including W-9 forms and tax documentation
  • Reconcile accounts payable subledger to the general ledger
  • Assist with month-end close activities, including accruals and reporting
  • Ensure compliance with company policies, internal controls, and audit requirements
  • Support audits by providing documentation and explanations as needed
  • Collaborate with internal departments such as Purchasing, Finance, and Operations

Qualifications

  • 2+ years of accounts payable or general accounting experience
  • Working knowledge of accounting principles and AP best practices
  • Proficiency in accounting systems and ERP software (e.g., SAP, Oracle, NetSuite, Dynamics)
  • Strong skills in Microsoft Excel and other Office applications
  • Excellent attention to detail and organizational skills
  • Strong communication and problem-solving abilities
